1. Who we are

This website (wetreekings.co.uk) is run by Nordmann Soul Ltd, trading as We Tree Kings (company number 14371322). Our registered office is 159 High Street, Barnet, Herts, EN5 5SU.

We are the “controller” of the personal information collected through this website. That means we decide how it is used and we are responsible for looking after it.

If you have any question about this policy or your information, email hello@wetreekings.com, call 0333 3355 947, or write to us at the address above.

Our online shop at wetreekings.com runs on Shopify and has its own privacy policy, which you can find at the bottom of every shop page. When you click through to the shop to buy a tree, that policy applies to your order.

2. What we collect and why

When you sign up for a discount code

Our sign-up forms (the “Get £10 off” banner and pop-up, and the Early Bird offer on our IKEA Cardiff page) ask for your email address. With it we save the date and time you signed up, the code we sent you, whether it has been used, and your device’s IP address.

  • We use your email address to send you your code. We do this because you asked us to.
  • We also use it to send you occasional emails about our trees, offers and pop-up shops. We only do this with your consent, and you can stop them at any time by replying “unsubscribe” to any of our emails or emailing hello@wetreekings.com.
  • We use the IP address and sign-up time to stop abuse of the offer, such as automated sign-ups. This is in our legitimate interests in running a fair offer.

When you contact us

If you email or phone us, we use your name, contact details and what you tell us to answer you and help with your order or question. This is in our legitimate interests in looking after our customers, or to take steps you have asked for before you buy.

3. Cookies and similar technology

We do not use analytics, tracking or advertising cookies on this website.

Your browser stores two small notes on your device so the sign-up pop-up does not keep appearing:

  • wtkModalSeen remembers that you have already seen the pop-up during this visit. It is deleted when you close your browser.
  • wtkSignedUp remembers that you have already signed up, so we do not ask again. It stays until you clear your browser data.

Some pages show content from other companies, which may collect information under their own policies:

  • Google Fonts: our text styles load from Google, so your browser sends your IP address to Google.
  • YouTube: our video uses YouTube’s privacy-enhanced mode. YouTube may set cookies once you press play.
  • Google Maps: our IKEA Cardiff page shows a Google map, which may set Google cookies.

Links to Trustpilot and to our shop take you to those websites, where their own policies apply.

4. Who we share it with

We do not sell your information. We only share it with companies that help us run this website, and only as much as they need:

  • our website hosting provider, which stores the website and the sign-up list and sends our emails;
  • Google: sign-ups are copied to a Google Sheet that our team uses to manage them, and Google provides the fonts, video and map described above.

We may also share information if the law requires it, for example with HMRC or the police.

5. Information sent outside the UK

Some of the companies we use, such as Google, may handle information in other countries, including the USA. When that happens, it is protected by the safeguards UK law requires, such as the UK–US “data bridge” or approved contract terms.

6. How long we keep it

  • Sign-ups: we keep your email address and sign-up details for up to 2 years from when you last signed up or used your code, then delete them. If you unsubscribe, we stop emailing you straight away and keep only a note of your email address so we do not contact you again.
  • Emails and calls: up to 2 years from our last contact.
  • Customer records we must keep for tax and accounting: 6 years, as the law requires.

7. Keeping your information safe

Our website uses a secure (HTTPS) connection. Saved form details are stored in protected areas of our web server or in our business accounts, and only the We Tree Kings team who need them can see them.

8. Your rights

Under UK data protection law you have the right to:

  • see the information we hold about you and get a copy of it;
  • ask us to correct anything that is wrong or incomplete;
  • ask us to delete your information;
  • ask us to limit how we use it while a concern is looked into;
  • object to us using it, in particular for marketing (we will always stop marketing if you ask);
  • ask us to send it to you or another organisation in a common format;
  • withdraw your consent at any time where we rely on it. This does not affect anything we did before you withdrew it.

To use any of these rights, email hello@wetreekings.com. It is free, and we will reply within one month. We may need to ask you to confirm who you are first.

9. Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator: ico.org.uk/make-a-complaint or 0303 123 1113.

10. Changes to this policy

We will update this page if the way we use your information changes. The date at the top shows when it was last changed.
